Deficiency Review & Transfer

When you submit an inspection report at a premises for a system type with outstanding deficiencies, you'll now be asked to review and action each one before you can submit.

For each outstanding deficiency, choose:

  • Resolved — it's been fixed. The original closes out and won't carry forward.
  • Still Deficient — it's still an issue. It's automatically carried forward to your new report (you can edit details if conditions changed), and both records are linked.
  • Not Reviewed — you're intentionally skipping it. It stays outstanding and will come up again on future reports for that system type until it’s resolved.

Where you'll see it: In manual report upload, a warning appears before submit with a "Review Deficiencies" step. In AI report upload, outstanding deficiencies appear inline alongside AI-extracted findings, labeled "Outstanding from prior report," with the same action controls. Submission is disabled until every outstanding item has been actioned.

For full details, please see Deficiency Review & Transfer tutorial and video in our knowledge base.
